The Societies
The Society for the Promotion of Hellenic Society (Hellenic Society) was founded in 1879 to advance the study of Greek language, literature, history, art and archaeology in the Ancient, Byzantine and Modern periods. The Society for the Promotion of Roman Studies (Roman Society), founded in 1910, is the leading organisation in the UK for those interested in the study of Rome and the Roman Empire, including Roman history, archaeology, literature and art down to about A.D. 700. Both Societies maintain the Hellenic and Roman Library, along with the Institute of Classical Studies, at Senate House (University of London); organise lectures, visits, conferences and online courses; and offer a range of grants, bursaries and prizes. The Hellenic Society publishes the Journal of Hellenic Studies, Archaeological Reports and ARGO, and the Roman Society publishes the Journal of Roman Studies, Britannia and Epistula. Applications are invited for a new Secretarial Assistant.
Job Description
* The post is full-time: 35 hours a week, but some flexibility in the hours will be required. Working hours may be split between the Societies’ offices at Senate House and home; the exact split may be negotiated but it will be necessary to spend at least two days a week in the office.
*The postholder is responsible to the Secretary of the Hellenic and Roman Societies and will carry out day-to-day tasks as required. These will include:
- membership enquiries and processing subscriptions
- liaising with Cambridge University Press (members’ journals)
- updating and developing the website, including promoting events etc., in conjunction with the Society’s social media officer
- organising the Society’s mailings
- helping at Society events. This will include up to ten evenings and two Saturdays in June
- assisting with the organisation and hosting of the Societies’ online courses (currently held on Wednesday evenings)
- assisting with tasks connected with fundraising for the Library
- assisting with the administration of grants and awards
- helping to organise conferences
- assisting with the organisation of meetings and taking minutes
- any other tasks as required
Qualifications and experience
The successful applicant will be proficient in using mainstream PC-based software packages (Microsoft Word, Access, Excel, Outlook, Zoom etc) with an aptitude for learning new IT skills (such as the Societies’ membership database, and websites) as required; good administrative and organisational skills; the ability to work independently and as part of a small team; to prioritise and work to deadlines; strong verbal and written communication skills; and interpersonal skills to develop and maintain relationships with the Societies’ members. A personal background in some area of classical studies will be an advantage.
Terms and conditions of employment
* The Secretarial Assistant will be the employee of the Societies.
* The post will be at the equivalent of the University of London scale: Level 1, point 6 for Clerical, Technical, and Support Staff (currently £27,068 p/a).
*The post is available from 1 October, or as soon as possible thereafter.
